Job Description Job Title: Executive Team Assistant Location of Job: Central Office and Zoom Work Schedule: Flexible Exemption Status: Non-Exempt Company Expanding owner and operator of high quality commercial and multifamily real estate properties throughout the country headquartered in Clayton, MO that is the lead investor in various self-managed investment funds with a wide range of US and international individual and institutional partners. Summary of Duties & Responsibilities Responsible for using excellent discretion and judgment in supporting and enhancing the transaction and executive teams, company business activities, and Central Office operations. Should have positive outlook and strive to improve company operations, while looking to be as cost effective as possible. Primary Duties & Responsibilities --- Assist in due diligence and closing procedures for real estate acquisitions, refinances, and dispositions, including preparing lender forms and exhibits, offering memos, site inspection books, monitoring checklists, and compiling closing books. --- Understand legal structure of corporate and property entities and be responsible for forming new entities, obtaining federal employer identification numbers, completing and filing annual reports, preparing internal corporate annual minutes, and administering third party corporate representation. Maintain corporate organizational charts. --- Responsible for corporate and property document retention, including permanent legal documents (hard copy and network files). --- Maintain corporate partner database including updating the database for new investments, transfers and changes, and generating database reports as needed. --- Responsible for timely filing of corporate and partnership tax documents including researching and responding to notices accurately and timely. --- Perform executive assistant support to the President, Vice Presidents and executive team, including travel arrangements, expense report preparation, site visit support, and general office support. --- Research & contact corporations such as top insurance companies in order to find new partners and lenders. --- Create and maintain digital contact lists to assist teams in managing property and relationship targets. --- Maintain business licenses for properties and Central Office, and coordinate payment of dues for organizational memberships. --- Effectively support and communicate with community operations personnel. Including scheduling lender visits or other inspections and providing all requested documentation. --- May require supervising other support people in office. --- Become involved in and perform special projects as requested. Education & Prior Work Experience Bachelor's degree preferred, with five years related experience. Strong computer skills with a variety of software needed. Experience with legal documents a plus. Special Requirements Position requires strong analytical skills and strong telephone and email communication skills with a customer service attitude. Should have ability to work under pressure and formulate independent decisions on matters. Should fully complete projects and tasks from start to finish with little supervision. Must enjoy working with detail and working in a team environment.
