Job Description:

AW Health Care is currently seeking a full time Payroll Specialist to work out of our University City, Missouri office.Job Summary:The Payroll Specialist coordinates and leads the organization's payroll function, ensuring accuracy, timeliness and compliance with all applicable laws and regulations. Prepares, reviews and submits bi-weekly processing for the organization's main payroll and for the payrolls of all Consumer Direct Service (CDS) companies. Responsibilities:Accurately process bi-weekly payrolls through outside payroll service within prescribed time frames.Compile payroll data for each pay period through receipt of reports and detailed documentation from payroll contacts in each department. Review data and resolve questions through communication with departmental payroll contacts and department managers in order to submit payroll for processing by established deadlines. Maintain thorough documentation of all payroll transactions.Ensure receipt and documentation of appropriate approvals for all payroll transactions. This includes follow-up and documentation of additional approvals required for any changes requested after receipt of initial approved payroll reports.Maintain all information within payroll service database. This includes entry of changes in employee information, pay rate changes, tax status changes, employee classification changes, department/job changes, etc. Ensure that all changes bear appropriate approvals and are properly documented.Develop in-depth understanding of payroll service database in order to produce both standard and report-writer payroll reports as needed or requested.Serve as the primary contact person with outside payroll service.Ensure legal compliance with federal, state and local payroll regulations. Strive to stay abreast of changes in payroll tax and other regulations. Implement necessary changes in procedure in order for the organization to remain in compliance with all payroll regulations.Provide excellent customer service to all employees by promptly addressing and resolving all payroll-related questions and concerns. Provide and explain all payroll-related forms and assist in completion, as necessary.Instill confidence in the workforce and management by maintaining the highest level of confidentiality at all times.Provide analysis of payroll information to management, as requested. Analyze payroll issues and recommend corrective action.Update and recommend payroll policies and procedures. Take the lead in educating managers and departmental payroll contacts as to payroll policies and procedures.Review employee set-up for all new hires in both the payroll system and the company operating system. Coordinate with Human Resource staff to ensure proper set-up and accurate maintenance of employee records.Process all garnishments, levies and support orders in compliance with the court ordering the withholding.Process and ensure the recording of all Paid Time Off (PTO) requests in compliance with company policy. Record PTO for key staff members on company calendar in portal.Maintain CDS client payrolls, by leading client set-up, payroll processing and inactivation/closure, in coordination with the CDS Manager.Assist with administration of benefits programs, as requested. Serve as back-up to Human Resource Specialist. Specifically, prepare to cover Employee Orientations, new employee set-up, employment verifications, unemployment claim response and any other vital, time-sensitive functions, in the absence of the HR Specialist.Keep management apprised of all payroll issues and up-coming changes or potential issues and changes. Take pro-active approach in heading off potential problems.Take lead in company record retention program. Head up on-site and off-site filing and retrieval system. Work with all departments to keep past and current records in compliance with regulatory and taxing authorities. Establish and maintain best practices for record-keeping across company.Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.Contribute to team effort by enthusiastically completing any task requested.

Qualifications:Minimum of 5 years' experience in the payroll and/or human resources field.Paylocity experience is highly desirable.Maintains high attention to detail.Possesses thorough knowledge of payroll and payroll taxation.Maintains highest standards of confidentiality.Has strong analytical abilities and skills.Possesses excellent documentation skills.Is extremely organized. Has good time management skills and is able to prioritize in order to complete vital tasks to meet all deadlines.Possesses sound decision-making skills.Has a strong bias for action and a keen sense of urgency. Is self-confident and professionally tactful. Is customer service oriented. Has excellent written and verbal communication skills.Displays leadership qualities and behaviors.
