Job Description:

Administrative responsibilities include assisting in project initiation, transferring field and lab data to spreadsheets, monitoring project invoicing and budgets, scheduling site supplies and project meetings, assisting with word processing edits, finalizing documents by following Company format and document filing. Performs other duties as assigned. ROLES AND RESPONSIBILITIES:

  • Answering telephone calls and emails from customers and clients and directing them to relevant staff
  • Monitoring office supplies and ordering new within budget
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced.
  • Manage contract and price negotiations with office vendors.
  • Assisting in general financial management and analysis
  • Creating New Job Folders when requested - including entering in Ajera/Deltek Vison creating a paper and electronic folder, adding into Access.
  • Coordinate and maintain apartment leases for the out-of-town employees.Financial Management Expectations:
    • Maintaining the invoicing system on an ongoing basis
    • Generating invoices and account statements, Invoices must be completed within 3 business days from closing date
    • Performing account reconciliations
    • Maintaining accounts receivable files and records
    • Investigating and resolving any irregularities
    • Assisting in general financial management and analysis
