Description:80% of the time the candidate will be responsible for handling all contracts, sub vendor agreements, change orders and PO's for all active projects and ensuring that all that information is up to date in the project file.When information is received, candidate will conduct a visual check for completion and accuracy. Once visual check is completed the individual scan and attaches the document in the project folderEmployee will conduct monthly checks of all active project folders to ensure all documentation is up to date (ex. a there is an updated cert of insurance in the folder so Interface can pay their sub contractor)20% of the time the candidate will be responsible for general office administration dutiesEnsuring office equipment is ordered and stocked, send out team wide emails as necessary, ensure that in office team/safety meetings are prepared in the large conference room (software is set up, sign in sheets are present, necessary items are available)Individual will also serve as a backup to the person who sits at the front desk of the facility. Those duties include greeting visitors, ensuring the kitchen is in good order, distributing mail, manning the A/P inbox and distributing invoices as necessary, and reviewing Excel proposals for Estimators before submission.Skills:construction, contract, administrative support, office administrative, contracts administration, construction administration, construction document, engineering documentation, engineering support, office administration, administrative assistanceTop Skills Details:Accounts Payable experienceAdditional Skills & Qualifications:Experience with Adobe (ability to to edit) and Excel (understanding of basic formulas) is a must have.Background in contracts administration within Construction, Engineering or Design is preferredHigh level administrative background (exec admin or departmental admin)Ability to send professional email communication to multiple members of the organizationExperience Level:Expert Level About Aerotek:We know that a company's success starts with its employees.
